A document system where things can actually be found

A shared drive works until about the third year. After that it is a record of every filing convention anybody ever tried, nobody can find last year’s version of anything, and the answer to "where is it" is "ask whoever was here then".

What it does

A shared drive had become an archaeology site. This replaced it with a document system that files things consistently and can find them again.

Documents index themselves

Filing is the part people skip when they are busy, so it stopped being their job.

  • Scanned post and email attachments picked up automatically
  • Text extracted from scans, so an image of a letter is still searchable
  • Filed against the right client or matter without anyone choosing a folder

One structure, enforced

A convention only works if software applies it. People under deadline apply whatever is fastest.

  • Consistent naming and location applied by the system
  • Duplicates detected rather than filed twice under different names
  • The old drive migrated in, not left behind as a second place to look

Retention and access

Keeping everything forever is a liability, not a filing strategy.

  • Retention rules so records leave on schedule rather than never
  • Access scoped to who should see what
  • An audit trail of who opened and changed what

Migrating years of inconsistent filing without losing anything

The problem

The value is in the archive, and the archive is the mess. A migration that drops or mangles historic documents is worse than the shared drive it replaced.

What we did

The migration ran as a copy rather than a move, with the old structure left intact until the new one was verified against it. Duplicates were detected by content rather than filename, so the same document filed three ways became one record.

The result

A searchable archive, with the original drive still there untouched until everyone was confident.
