Privacy Policy

The short version: we collect the details you choose to share with us (plus a little technical data that keeps the site safe), we use them to reply to you and improve the site, we never sell them, and you can ask us what we hold about you at any time. The longer version follows. We've kept the legalese to a minimum.

1. Who we are

ZD Digital is a trading name of ZD Digital Ltd, registered in England and Wales (Company No. 16790250). Our team is based in West London, and our registered office is c/o Sync Accountants Limited, The Media Centre, 7 Northumberland Street, Huddersfield, HD1 1RL. We are registered with the Information Commissioner's Office (ICO) as a data controller. Our registration reference is ZC118205, and you can verify it on the ICO register.

2. What we collect, and why

  • Details you choose to share when you complete our contact or quote forms: your name, email, company, optional website, and whatever context you give us. Why: so we can reply to your enquiry and prepare a useful, relevant proposal. Lawful basis: our legitimate interest in responding to enquiries you initiate, and, where we go on to work together, the steps needed to enter into a contract with you.
  • A small amount of technical data: IP address, browser details, and page context, collected when you submit a form. Why: to protect the forms from bots and abuse, and to troubleshoot if something breaks. Lawful basis: our legitimate interest in keeping the site secure.
  • Anonymous usage statistics: which pages people visit and how they got here, via Google Analytics with IP anonymisation. Why: to understand which content is genuinely helpful. Lawful basis: your consent. Analytics only runs if you say yes on the cookie banner, and you can change your mind at any time via “Cookie settings” in the footer.

That's it. We don't buy data about you, we don't build advertising profiles, and we don't run tracking pixels for ad networks.

3. How we use your data

Form submissions are routed to our CRM and an internal Slack notification so the right specialist can pick your enquiry up quickly. We use what you tell us to reply, to prepare proposals, and to improve the content on this site. Nothing more.

4. Who helps us process it

Like most modern websites, we rely on a small number of carefully chosen service providers (“processors”) who handle data on our instructions:

  • Cloudflare hosts this site and provides Turnstile, the quiet bot-check on our forms.
  • WordPress (self-hosted) stores our site content and handles form email notifications.
  • Our CRM & Slack are where enquiries land so we can respond promptly.
  • Google Analytics gives us anonymous usage statistics, only ever with your consent.
  • Calendly handles bookings if you choose to book a call through the calendar on our contact page.

We never sell personal data, and we only share it with the providers above or where the law requires us to.

5. How long we keep it

Enquiry details stay in our CRM while there's a live conversation or client relationship, so we have the context to help you properly. If an enquiry goes nowhere, we periodically clear old records rather than hoard them. You can ask us to delete your details sooner at any time (see below).

6. Your rights

UK data protection law gives you real, usable rights over your data. You can ask us to:

  • Show you what we hold about you (a “subject access request”);
  • Correct anything that's inaccurate;
  • Delete your data (unless we genuinely need it, for example for an ongoing contract);
  • Limit or object to how we use it;
  • Hand it over in a portable format;
  • Withdraw consent for anything consent-based (like analytics), as easily as you gave it.

Just email [email protected]. No forms, no fee, and we'll respond within one month.

7. International transfers

Some of our providers (such as Google and Cloudflare) may process data outside the UK. Where that happens, it's covered by recognised safeguards such as the UK's adequacy arrangements or International Data Transfer Agreements.

8. If something doesn't feel right

Tell us first. We'd genuinely rather fix it than have you worry about it. If you're not happy with our answer, you have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

9. Changes to this policy

If we change how we handle data, we'll update this page and the date at the top. We won't quietly move the goalposts.
